Department Director
- Directing the department and directly supervising the execution of all its duties.
- Developing and updating strategic plans to elevate the department’s performance.
- Coordinating workflow and duties across the department’s various divisions and units.
- Representing the department in local and international academic meetings, conferences, and events.
Heads of Divisions and Units
- Managing specific divisions or units within the department and delegating tasks to staff.
- Overseeing and executing daily administrative and academic responsibilities relevant to the division.
- Submitting periodic reports on division activities and achievements to the Department Director.
- Coordinating with other university departments and divisions to achieve shared goals.
Administrative Staff
- Supporting daily administrative and logistical operations within the department.
- Drafting official documents, communications, and correspondence.
- Organizing and archiving files and records related to sponsored students and academic programs.
- Providing technical and administrative support to division and unit heads.
Key Tasks and Responsibilities
Duties of the Department Director
- Formulating and implementing strategic and development plans for the department.
- Managing and effectively allocating the department’s budget and human resources.
- Tracking the execution of memorandums of understanding (MoUs) and international agreements with global universities.
- Providing guidance, support, and direction to department personnel.
- Coordinating academic and cultural activities and events across the university.
- Preparing comprehensive performance reports for senior university leadership (Vice President for Scientific Affairs).
Duties of Divisions and Units
1. Division of Overseas Students and Delegations
- Tracking sponsored students’ affairs from admission, study, and extensions to graduation and financial settlements.
- Coordinating continuously with foreign universities to ensure smooth academic progress.
- Providing necessary administrative and academic guidance and support to overseas students.
- Issuing official university orders for scientific delegations and official tasks outside Iraq.
2. Division of Cultural Relations
- Drafting and reviewing agreements and memorandums of understanding (MoUs) with international academic institutions.
- Organizing and coordinating joint scientific and cultural conferences, seminars, and events.
- Coordinating visits for international academic delegations and facilitating knowledge exchanges.
3. English Language Unit
- Providing certified translation services for documents and official correspondence to and from English.
- Reviewing and proofreading scientific abstracts and papers in English for faculty and researchers.
- Organizing specialized workshops and training courses to enhance English proficiency for teaching and administrative staff.
4. Erasmus+ European Union Projects Unit
- Managing and implementing academic and cultural exchange programs for students and faculty with European universities.
- Organizing workshops and training programs in education, training, youth, and sports.
- Offering academic and administrative guidance to applicants and participants in EU projects.
5. “Study in Iraq” Unit
- Marketing and promoting available academic programs and specializations at the University of Al-Qadisiyah to international applicants.
- Hosting introductory and promotional events to attract international students to the university.
- Providing guidance and administrative support to prospective international students studying at the University of Al-Qadisiyah.
6. Plagiarism Check Services Unit
- Tracking and documenting scientific plagiarism checks for research papers, master’s theses, and doctoral dissertations.
- Issuing and evaluating similarity reports to maintain academic integrity and research standards.
- Coordinating with academic departments and colleges to ensure high-quality scientific output.
